View the video for a quick overview of a basic hotel booking on LOGiC. Use the button on the video toolbar at any time to view in Full Screen.
Step by Step Guide
UK and overseas accommodation can be booked via LOGiC. Travel policies may be applied to restrict overseas hotels, enable preferred programmes, or budgets. Please refer to your organisation’s travel policy for more information.
Search for Hotels
From the LOGiC home screen, select the Accommodation tile to start your booking.
Enter the hotel details:

Enter the location where you want to search, e.g. Manchester. The location list includes towns and cities as well as landmarks and points of interest such as railways stations and airports.

Enter the arrival date
- Select the number of guests per room
- Select the number of rooms
This is the number of guests in each room, not the total number of guests. For example, if you are booking for three people: select 1 guest per room and then 3 rooms.
- Select the number of nights

Select the filters
- Change the Sort Order if necessary:
- Closer Venues first: venues closest to the location
- Cheaper Venues first: will show the cheapest hotels first (these may be further away)
- Corporate Standard Venues: hotels such as Hilton or Holiday Inn

Greener Venues first: hotels with Green Tourism or ECOsmart accreditation
- If you’re looking for a specific hotel, enter the name or chain in the Hotel Name field.
- Select any Facilities you want to filter results by, e.g. Gym, Restaurant, Free or Chargeable Parking.
- Click the Find Times & Fares button.
Increase or reduce the radius: If it’s a rural area, you may want to expand it. If you’re searching in a big city like London, reduce it 1 or 2 miles to narrow down your results.
Use Hotel Name to search for specific chains as well as hotels. Avoid entering the full hotel name and instead enter the first part.
Use the sort order to find different types of hotel. Cheaper and Closer venues will be more likely bring back smaller hotels, B&Bs and Booking.com rates. Corporate Standard will bring back bigger hotel chains like Hilton, Marriott and Holiday Inn.
Search Summary
LOGiC will now go out to hotel providers to request availability and display rates.
The hotel availability section will display a summary of the first 10 hotels giving the distance from the location you chose (as the crow flies) and prices. The hotels and available rates will be listed below.
The arrows on the right-hand side of each rate indicate whether the rate is in budget. Click the arrow or scroll to view the hotel details and available rates.
Budget Indicator
| A green arrow means the rate is within your budget. You can go ahead and book. | |
| A yellow arrow means the rate is over your budget. You are still able to book, but may need to obtain authorisation or enter a reason for travel before completing your booking. | |
| A pink arrow means that your company have blocked all rates that are over budget. You will not be able to book this rate and will need to choose another within budget. |
Summary Table
Search Results
The first 10 results will be displayed and you can use the Load More Hotels button at the bottom of the page to load the next page of results.
- Click the View button to see a summary of each hotel including descriptions, facilities and maps.
- Use the heart to save hotels as a favourite.
- If you have a preferred hotel programme in place, preferred hotels will be shown at the top of the list.
- Rates will be shown in order of price and if we have loaded any discounted rates you have with a hotel, these will be labelled with your company name.
Hotel Results
Flexible rates will be displayed by default. If your organisation has enabled non-refundable rates, you can use the Deposit toggle to display these.

Where rates are not displayed this will usually be because the rate is sold out and you’ll be advised the hotel is not available.
If your organisation has not enabled Booking.com rates, you will also see the hotel is not available message for any hotels that only offer rates through Booking.com and not via our other online channels.
Choosing your rate
- Select the arrow beside the rate you want to book. A green arrow indicates the rate is in budget, a yellow arrow indicates it is over budget and you’ll need to provide a reason for booking it.
- You can view information about the rate on the next page including sustainability, parking and room information.
- The cancellation policy will also be displayed, please read this carefully.
- Next you’ll see the rate information which includes tax, the cost per room and the total price.

Adding Extras
If you are booking a Travelodge or Premier Inn, you may have the option for added extras such as breakfast, meal deals, late check out etc.
These will be at an additional cost. Rate caps/budgets are based on the total cost of the booking, so adding extras may push your booking over budget.
Select the extras you want to add and click Confirm Costs to continue.

Billing Details
- Enter the email address you want the confirmation to be sent to. This will automatically default to your email address as the booker. If you change this, you will not receive the confirmation.

If you can only book for yourself: your information will be pre-populated and you won’t be able to change it.
- If you can book for others: always select a guest profile if there is one available by typing in the surname of the guest and selecting their name from the dropdown list. If there is no guest profile and your organisation allows it, you may be able to manually enter the guest details.
If you are booking multiple guests in multiple rooms (e.g. 3 guests in 3 rooms): you will be asked to enter the details for each guest.
If you are booking multiple people in a room: with the exception of Travelodge, you will only be asked to enter the lead guest’s name. Some of our suppliers will only accept the lead guest’s name and this should not cause a problem at check-in.
If you are booking a Travelodge with multiple guests in a room: you will be asked to provide the names of all guests.
Guest Information

Enter the billing information. You may be asked to pick from a list, enter information in a set format (e.g. all numbers), or free type the information in. This will depend on your organisation’s requirements.
- Click Select Payment Details to continue.
Payment Options
Payment options will depend on the hotel you are booking. Dinner and extras allowances will be as per your travel policy.
You will see one of the following payment options:
- Billback
- Inntel to settle the bill
- Premier Inn - Inntel to pay
Select the relevant payment option and click Book.
If your organisation has different dinner allowances based on location or role, you may also be asked to select an additional option after you have selected one of the above.
Billback
Your accommodation and breakfast will be paid for. You only need to pay for any extras not included on checkout. The hotel will send Inntel the invoice and we will collate these and send to your finance department for payment.
Inntel settle the bill
The hotel doesn’t offer billback, but Inntel will still pay for your stay using a virtual card. You only need to pay for any additional extras on departure. Inntel will send the invoice to your finance department for payment.
If you are booking a Travelodge, payment is taken as soon as the booking is made. If you did not select meals or extras during the booking process, you will need to pay for these separately on departure.
