1. What is Pre-Trip Approval?
Pre-Trip Approval is an automated approval process that helps manage corporate travel policies within LOGiC, for example if booking a hotel outside of budget, or booking a Business class flight.
Pre-Trip Approval is available in LOGiC for the following services:
- Hotels
- Flights
- Trains
- Car Hire
- Taxis
Depending on your organisation’s travel policy and set up, approval may be required for all these services, or only one or two.
You can see the status of your approvals by clicking the My Approvals tile on the LOGiC homepage.
2. Requesting Approval
Approval can be requested in one of two places during the booking process and depends on your organisation’s requirements.
You’ll either be asked for approval:
- once you’ve selected which flight/hotel/train you want to book; or
- at the end of the booking process when all extras such as baggage or seats have been calculated.
Approval for Car Hire or Taxis will always be asked for at the end of the booking process.
If approval is required, you’ll see the approval pane appear before you can book. Click the Send for Approval button to send the request to your approver.
Note: if your approver is your line manager, you will need to have selected a guest profile and not manually typed in the guest/passenger information for your approval to go to the right person.
Click the OK button and wait for the email with the approval code. If you stay on the page and your request is approved within 20 minutes, the approval code will automatically be entered and validated.
Note: your booking has not been made at this stage.
3. Validating Approval
Once your approver has actioned your request, you’ll receive an email confirming the status of your approval. If your approval was declined, a reason will be stated in the email. If your approval was accepted, your email will include your approval code.
If you stayed on the page and your request was approved within 20 minutes, you can continue on to complete your booking.
After 20 minutes, or if you navigated away from the page, you will need to start the booking process again. When you reach the approval pane, enter the code from your email and click the Validate Approval button to continue and complete your booking.
